1. Job Overview

The HR and Operations Associate will play a central execution role in strengthening PROMAD’s internal systems to support the delivery of its Organisational Strategy (2026–2030). The role blends human resource management, administrative coordination, and operational execution to ensure organisational efficiency, compliance, and team productivity.

The Associate will work closely with the Office of the Founder and Executive Director, serving as a coordination hub across programmes and the innovation company arm, the StackLabs Innovation LTD/GTE. This role requires a systems thinker who can translate strategy into operational processes while maintaining strong people-management practices in tandem with PROMAD’s policies.

2. Key Responsibilities

A. Human Resources Management

  • Support end-to-end recruitment processes (job postings, screening, interviews, onboarding)
  • Support the development and maintenance of HR policies aligned with organisational growth.
  • Manage staff records, contracts, and compliance documentation.
  • Coordinate performance management systems (KPIs, appraisals, feedback loops).
  • Support staff learning and development initiatives.
  • Drive employee engagement and internal culture-building activities.
  • Ensure compliance with Nigerian labour laws and organisational policies.

B. Operations & Administration

  • Coordinate day-to-day office operations and administrative systems.
  • Manage internal workflows, documentation, and reporting structures.
  • Oversee scheduling, logistics, and coordination of meetings/events.
  • Maintain operational SOPs and improve efficiency across teams.
  • Supervise vendors, service providers, and office assets.
  • Support budgeting processes and expense tracking (in collaboration with finance).
  • Coordinate procurement process with relevant departments.

C. Strategic & Executive Support

  • Work closely with the Office of the Founder and Executive Director (OFED) on priority initiatives.
  • Track execution of organisational strategic goals and internal deliverables.
  • Prepare internal reports, briefs, and operational updates.
  • Coordinate cross-team communication and ensure alignment.
  • Provide administrative and operational support to leadership engagements.

D. Programme & Innovation Support

  • Support operational needs of programmes, including StackLabs activities and assist clients and partners.
  • Assist in coordinating training sessions, bootcamps, and innovation events.
  • Support scaling processes for StackLabs.  
  • Ensure programme delivery aligns with internal operational systems

3. Requirements

Education

  • HND/Bachelor’s degree in Human Resources, Business Administration, Management, or related field.

Experience

  • 2–3 years of relevant experience in HR, operations, or administrative roles.
  • Experience working in NGOs, startups, innovation hubs, or development organisations is highly preferred.

Core Competencies

  • Strong organisational and project management skills.
  • Working knowledge of HR systems and labour regulations.
  • Excellent written and verbal communication skills.
  • High attention to detail and process orientation.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong interpersonal and stakeholder management skills.

Technical Skills

  • Proficiency in tools such as Google Workspace, Microsoft Office, etc.
  • Familiarity with HR and task management tools. 
  • Basic financial tracking and reporting skills.
  • Experience with project management tools (e.g., Trello, Monday.com, Notion) is an advantage.

4. Key Performance Indicators (KPIs)

HR Metrics

  • Time-to-hire (target: ≤ 30 days per role)
  • Employee retention rate (target: ≥ 85% annually)
  • Staff satisfaction and engagement score
  • % completion of performance reviews (target: 100%)

Operational Efficiency

  • Timeliness of internal reporting and documentation.
  • Reduction in operational bottlenecks (measured quarterly).
  • % adherence to SOPs across teams.
  • Office uptime and administrative issue resolution time.

Strategic Execution

  • % of strategic initiatives tracked and delivered on schedule
  • Quality and timeliness of executive reports and briefs
  • Cross-team coordination effectiveness (measured via leadership feedback)

Programme Support

  • Number of successfully coordinated events and programmes, including external events by partners using the StackLabs Innovation Hub.
  • Client and partner satisfaction in the use of the StackLabs Innovation Hub.
  • Operational readiness score for programme and events delivery.

5. Salary Range

The remuneration for the role is between ₦2,000,000.00 – ₦2,400,000.00 per annum.
